Part-Time Administrative & Outreach Coordinator

We partner with nonprofit, government, and business organizations to increase visitation, increase the economic impact of tourism, and ultimately improve the quality of life for residents.

What We’re Looking For (Must-Have Qualifications)

We are seeking someone who:

  • Has strong written and verbal communication skills

  • Enjoys interacting with the public by phone and in person in an office setting, and occasionally at community events
  • Has basic bookkeeping experience (QuickBooks preferred)
  • Familiar with basic office software for word processing and spreadsheets
  • Is highly organized, conscientious, and detail-oriented
  • Maintains a positive, professional attitude
  • Enjoys being involved in the community
  • Associate degree or higher OR at least two (2) years of relevant experience in office administration, bookkeeping, or community outreach. Relevant volunteer experience may be considered.

     

Key Responsibilities


Bookkeeping & Administrative Support

  • Prepare and record payables and receivables
  • Assist with financial documentation
  • Coordinate with the organization’s accounting firm
  • Support Board of Directors meetings (prepare materials and take minutes)


Office Coordination

  • Greet visitors and answer phones
  • Respond to travel inquiries via phone, email, and mail
  • Manage office supplies and vendor communications
  • Prepare correspondence and mailings
  • Maintain organized office systems and records

     

Community & Event Support

  • Represent Putnam County Tourism at community events
  • Assist with tourism events and outreach initiatives
  • Build and maintain relationships with local businesses, merchants, artisans, and community partners
  • Help maintain listings and tourism information resources

     


Position Details

  • 20–23 hours per week

  • Minimum of 3 workdays per week
  • Occasional evening/weekend work required for events (scheduled in advance)
  • Occasional lifting (up to 30 lbs.)
  • Valid driver’s license and personal vehicle required
  • Paid time off and paid state holidays
  • Pay commensurate with experience

Candidates may be required to submit to a background check and drug screening.

Pay Range: $17-21 / hour, based on qualifications and experience.
